Individuals are in travel status when they are on official business at a distance of more than 35 miles from their designed place of business or residence and become eligible for reimbursement of travel expenses.

An overnight trip is defined as dinner, lodging, and breakfast the following morning. For NYS sponsored projects, breakfast and dinner are reimbursable; lunch is not reimbursable.

All travel must be arranged using the lowest available fares in economy/coach class only with the exception of Amtrak Business Class between stations in Boston/Washington D.C. corridor. Approval for any other exceptions to economy class travel to accommodate a medical condition, special circumstances, etc., must be requested in advance and may require specific documentation as determined by the sponsor.
