OneRF is the Research Foundation of the City University of New York (RFCUNY)’s initiative to unify and evolve our finance, grants management, procurement, and human resources systems. RFCUNY will continue to maintain this page and publish further information and details on OneRF.

The Research Foundation of the City University of New York (RFCUNY) is pleased to announce the evolution and unification of our grants management, finance, procurement, and human resources processes in OneRF (powered by Workday). Together, we anticipate OneRF bringing greater transparency, real-time data, and streamlined administrative processing.

• Grants Management: A suite of grant reports are available in the OneRF Dashboard. From there you can access information about your grant, review budgets, and check expenses.
• Finance: You can use OneRF to reconcile your P-Card, submit invoices, and create expense reports.
• Procurement: You can purchase goods and services directly in OneRF using our catalog shopping for select suppliers, create requisitions, and generate supplier invoice requests without handling sensitive private information.
• Human Resources: OneRF allows you to submit and approve timesheets, request and approve time off, and access paystubs, W-2s, and benefit information. Note: Historical information will remain available in the My Payroll and Benefits legacy system until June 30, 2026, and will be available by request after that date.

RFCUNY has developed documentation on OneRF; detailed sets of instructions outlining how to understand OneRF; memoranda outlining the changes we’ve made to our processes; and frequently asked questions to support users.

The following living documents summarize updates and help users understand global functionality and nomenclature used by OneRF:

• OneRF External Release Notes (last updated: April 8, 2026) - Summarizes recent updates and enhancements to the OneRF system that support field operations released since December 15, 2025.
• OneRF Role Access Matrix (last updated: March 18, 2026) – Use this chart to identify the specific tasks and transactions field users can and should have access to in the OneRF system.
• OneRF Terminology Crosswalk last updated: January 28, 2026) – This living document presents a glossary of terms used by legacy processes alongside new terms used by RFCUNY’s OneRF platform.

OneRF Instructions and Guides:

RFCUNY has created over 100 detailed Job Aids and conducted a robust series of webinars to help you understand the most important processes you need to do your job. In addition, the documents below provide detailed instructions on key processes:

Before the launch of OneRF in January 2026, RFCUNY published a series of memoranda outlining how our processes would change These are now available in the OneRF Communications Archive.

RFCUNY has collected the communications we have provided to the CUNY research community since we announced the launch of OneRF in October, 2025 in the OneRF Communications Archive.

OneRF is powered by Workday, a best-in-class, cloud-based Human Capital Management and Financial Management system. We anticipate OneRF bringing greater transparency, real-time data, and streamlined administrative processing overall.
