OneRF
is the Research Foundation of the City University of New York (RFCUNY)’s initiative to unify and evolve our finance, grants management, procurement, and human resources systems.RFCUNY will continue tomaintain this page and publish information and details on OneRF, including release updates and what you can expect in terms of practical, focused training. 

One RF is Live

OneRF is now your central repository for RFCUNY human resources activities.  Once you claim your login, please plan to access OneRF’s Workday platform for the following important actions: 

  • Submit and approve timesheets – The next timesheet for RFCUNY staff is due December 29, 2025.  Be sure to claim your login before that date.  
  • Set part-time and nonstandard full-time schedules – Principal Investigators (PIs) and other managers who supervise part-time staff and full-time staff who have nonstandard (other than 9-5) schedules must set up work schedules before December 28, 2025. 
  • Request upcoming time off and leave of absence – All new time off requests must be made in OneRF and time off accrual balances are loaded into the system. Please review to memo we sent December 10 for important guidance on how RFCUNY will process these requests.  

In addition to those immediate actions, you can also access the following functions in OneRF: 

  • Access paystubs, W-2s, and other payroll information - Historical information will remain available in the My Payroll and Benefits legacy system until June 30, 2026, and will be available by request after that date. 
  • Review your benefits - Learn about the array of health, retirement, and other benefits and programs offered to employees. 
  • Managers can access tools - for recruiting and hiring employees as well as managing staff performance. 

RFCUNY has developed a detailed set of Frequently Asked Questions related to OneRF’s launch.  If you have further questions or if you have an urgent issue, please contact us by using the Case Management (Help Module) in OneRF’s Workday platform. We also have published demonstration videos for seven key human resource functions. 

 All other functionality, including grants and contracts; procurement; and finance processes will be available on the OneRF system on January 5, 2026. When logged into OneRF between now and January 5, you may see options for activities related to these functions – they remain closed until the full launch. Any submissions sent before that date will be rejected and returned.   

Claim Your New Login to Access One RF

Your OneRF login and password are different than your current RFCUNY login information. It is important that you take action now to claim your login and password for OneRF’s Workday platform. You can: 

  1. Review our step-by-step instructions on claiming your login. 
  2. Claim your OneRF login at: https://www.rfcuny.org/rflogonclaim. 
  3. Once you claim your login you can access OneRF: https://wd108.myworkday.com/rfcuny/d/home.htmld. 

Important: Timesheets are due in RFCUNY’s legacy system today – December 15, 2025 -  for the last time.  You will need to access OneRF’s Workday platform in order to submit and/or approve timesheets for the next pay period due December 29, 2025. Claim your login today. If you are unable to claim your OneRF login after following our step-by-step instructions, please email HRPassword@rfcuny.org.  Our team will be in contact with you within 1-2 business days.

Support Resources Now Available

RFCUNY has created over 100 detailed Job Aids to help you understand the most important processes you need to do your job. Each Job Aid is designed to guide you step-by-step through an activity by providing documentation specific to that transaction. 

You can access the full suite of Job Aids broken down by functional area (human resources, grant management, etc.) in the Training Resources section of the RFCUNY website.   

OneRF also includes a Case Management (Help Module) tool making it easier to get your questions answered when you need support. You can simply create a case to request assistance.  Once submitted, your case is assigned a ticket number and automatically routed to a specialist in the area related to your issue.  

About the One RF Initiative

OneRF is powered by Workday, a best-in-class, cloud-based Human Capital Management and Financial Management system. We anticipate that OneRF will bring greater transparency, real-time data, and streamlined administrative processing overall. We expect that this, in turn, will allow CUNY faculty to focus more time on research and less time on administrative processing. Since the very start of this project, OneRF has been guided by four principles: 

  1. Standardization: OneRF will integrate and evolve human resources, grants administration, procurement, and financial processes in one system for the first time. This unification will improve user experience, customer service, and reporting by allowing you to perform many important tasks through one easy-to-use portal. 
  2. Efficiency: Through the Workday platform, OneRF will automate many processes that are currently manual. For example, the new main page in Workday will feature automatic notifications and a personalized to-do list, reducing administrative burden, minimizing redundancies, and delivering accurate, easy-to-understand information. 
  3. User Friendliness: OneRF’s Workday system will have many user-centric, self-service features, improving workflows and increasing the timeliness of information available. The system’s robust search engine allows users to rapidly find and access the information and processes they need, while the unified menu and global navigation will bring an intuitive structure. 
  4. Transparency:OneRF will reduce complexity and give greater on-demand insight into our processes, including real-time activity and expenditure tracking. OneRF will provide numerous on-demand and customizable reports to allow you to see exactly what needs to happen and what actions you need to take. 

It is important to note that OneRF evolves the Research Foundation (RFCUNY’s) finance, grants management, procurement, and human resources systems. CUNY is undertaking a separate Workday implementation, called CUNYWork, which is scheduled to go live in January 2027 and is focused on the systems at the City University of New York and its campuses.

Why We Are Making this Change

RFCUNY is constantly seeking to align our processes with current best practices, as we work to improve and evolve our systems that serve the CUNY community. We are using Workday to power OneRF because it is an industry-leading, best-in-class solution. Additionally, RFCUNY is working now to implement OneRF because many of the systems we currently use for finance, grants management, procurement, and human resources are approaching sunset, while modern, cloud-based systems offer greater efficiency and customer support. Concurrently, vendors that provide some of the services we use are reducing or ending their support. In response, RFCUNY worked throughout 2024 and 2025 to identify a new vendor for these services and selected Workday as the platform that will power OneRF.

When fully implemented, OneRF will modernize and unite our systems by providing standardized, efficient, and transparent processes that will benefit CUNY faculty, Principal Investigators, Grants Officers, and RFCUNY staff. OneRF’s new software will streamline processes like grant management and administration, recruitment and hiring, and financial management. The user-friendly interface will also offer one platform that provides real-time information to users equally well on mobile devices and large monitors.
