
OneRF is the Research Foundation of the City University of New York (RFCUNY)’s initiative to unify and evolve our finance, grants management, procurement, and human resources systems. RFCUNY will continue to maintain this page and publish further information and details on OneRF.
The Research Foundation of the City University of New York (RFCUNY) is pleased to announce the evolution and unification of our grants management, finance, procurement, and human resources processes in OneRF (powered by Workday). Together, we anticipate OneRF bringing greater transparency, real-time data, and streamlined administrative processing.

Grants Management:
- Access information about your grant: You can search for your grants using your legacy project account number to view project reports, budgets, and expenses.
- Review your budgets: You can generate reports to check your budgeted financials against your actuals.
Finance:
- Reconcile your P-Card: Reconcile P-Card transactions early - RFCUNY recommends reconciling twice a month.
- Submit invoices: If you have held invoices for payment during RFCUNY’s blackout period, you may now submit them for payment using OneRF.
Procurement:
- Procure goods and services: You can now purchase goods and services directly in OneRF using new catalog shopping for select suppliers.
- Plan ahead for key purchases and stipend requests: OneRF’s new onboarding process for suppliers and stipend recipients protects you from handling sensitive private information but does require advance planning. If you know you need to pay suppliers, stipend recipients, or hire contractors – please make those requests ASAP.
Human Resources:
- Submit and approve timesheets as well as request upcoming time off: All new time off requests must be made in OneRF and time off accrual balances are loaded into the system.
- Access paystubs, W-2s, payroll, and benefits information: Historical information will remain available in the My Payroll and Benefits legacy system until June 30, 2026, and will be available by request after that date.

OneRF is powered by Workday, a best-in-class, cloud-based Human Capital Management and Financial Management system. We anticipate OneRF bringing greater transparency, real-time data, and streamlined administrative processing overall. We expect that this, in turn, will allow CUNY faculty to focus more time on research and less time on administrative processing. Since the very start of this project, OneRF has been guided by four principles:
- Standardization: OneRF integrates and evolves RFCUNY’s human resources, grants administration, procurement, and financial processes in one system for the first time. This unification will improve user experience, customer service, and reporting by allowing you to perform many important tasks through one easy-to-use portal.
- Efficiency: Through its Workday platform, OneRF automates many processes that are currently manual. For example, OneRF’s new main page features automatic notifications and a personalized to-do list, reducing administrative burden, minimizing redundancies, and delivering accurate, easy-to-understand information.
- User Friendliness: OneRF’s Workday system has many user-centric, self-service features, improving workflows and increasing the timeliness of information available. The system’s robust search engine allows users to rapidly find and access the information and processes they need, while the unified menu and global navigation will bring an intuitive structure.
- Transparency: OneRF reduces complexity and give greater on-demand insight into our processes, including real-time activity and expenditure tracking. OneRF will also provide numerous on-demand and customizable reports to allow you to see exactly what needs to happen and what actions you need to take.
RFCUNY made these changes as we are constantly seeking to align our processes with current best practices, as we work to improve and evolve our systems that serve the CUNY community. RFCUNY implemented OneRF in the fall of 2024 because many of the systems we were using for finance, grants management, procurement, and human resources were approaching sunset, while modern, cloud-based systems offer greater efficiency and customer support. Concurrently, vendors that provide some of the services we used were reducing or ending their support. In response, RFCUNY worked throughout 2024 and 2025 to identify a new vendor for these services and selected Workday, an industry-leading, best-in-class solution, as the platform that powers OneRF.
When fully implemented, OneRF will modernize and unite our systems by providing standardized, efficient, and transparent processes that will benefit CUNY faculty, Principal Investigators, Grants Officers, and RFCUNY staff. OneRF’s new software will streamline processes like grant management and administration, recruitment and hiring, and financial management. The user-friendly interface will also offer one platform that provides real-time information to users equally well on mobile devices and large monitors.
