General Description
The Office of the Vice Chancellor for Research (OVCR) promotes and supports research among faculty and students at CUNY. The OVCR oversees a number of programs and initiatives, including: providing fellowships and grants for faculty research, overseeing and supporting faculty entrepreneurship and technology commercialization, developing state-of the-art science facilities, fostering research opportunities for students, and ensuring University compliance with all regulations and standards relevant to the responsible conduct of research.
The Principal Administrative Associate is a member of the CUNY OVCR team.
Responsibilities:
- Schedule appointments for the Vice Chancellor for Research and ensure that the calendar is accurate, detailed and up-to-date at all times. This requires frequent communication with the VC for Research, working with multiple members of the University community, preparing meeting folders and briefings, and keen attention to detail.
- Oversee logistical planning for group meetings and special events, including preparing announcements, managing space reservations and attendee lists, arranging for technology needs and food/beverage orders.
- Make travel arrangements (local, domestic and/or international) for the VC for Research, and manage conference registrations and related details.
- Prepare and process Research Foundation Personnel Action Forms, Payment Requests, and related human resources and/or finance items.
- Maintain and update Microsoft Outlook Contacts for the VC for Research.
- Maintain office record-keeping (filing) system.
- Assist with preparing reports, mailings, payment requests, and other administrative and clerical duties.
- Interact with senior-level University administrators, receive visitors and handle/route information requests from within and around the University.
- In absence of Chief of Staff, prepare correspondence for signature and mailing, serve as liaison to external contacts, perform timekeeping function, and handle budget follow-up issues. Provide support to Chief of Staff as needed.
- Answer main phone line for OVCR and direct phone inquiries as needed.
- Record and distribute incoming mail and deliveries.
- Perform miscellaneous duties (e.g., online research, ordering of supplies, reconciling of monthly EZ-Pass and/or P-card statements) as required.

Qualifications
- Bachelor’s degree and at least five years’ experience providing executive-level support
- Proficiency in all standard Microsoft Office applications, including Excel, Outlook, Word and PowerPoint
- Strong interpersonal skills and excellent phone etiquette required
- Exceptional communication skills and the ability to communicate effectively with many constituencies is essential
- Outstanding project and time management skills needed; ability to multi-task and meet near- and long-term deadlines
- Extremely detail-oriented
