The CUNY Office of Careers & Industry Partnerships (OCIP) is dedicated to the mission of connecting academic pursuits with career competitiveness. OCIP works closely with industry to understand the skills required for the most in-demand jobs and trains City University of New York (CUNY) students in those skills to prepare them for early and sustained career success.
GENERAL DESCRIPTION
The CUNY Internship Program (CIP), in partnership with the City of New York and New York City government agencies offering students the opportunity to gain hands-on experience working in the public sector. To help build capacity at these agencies CIP also manages scholarship and fellowship programs that support New York City agencies. Reporting to the CIP Director, the Operations Manager will oversee its Civil Service Pathways (CSP) Fellowship Program and Human Services Career Advancement Scholarship (HSCAS) Program. The Operations manager will also provide ongoing operational support to the Director which includes but is not limited to the following.
Other Duties
DUTIES AND RESPONSIBILITIES
- Manage implementation of Human Services Career Advancement Scholarships
- Maintain and manage program budgets
- Manage assigned CUNY Internships online Symplicity platform
- Oversee and coordinate the marketing, recruitment, and application process of the CSP and HSCAS programs
- Support the Director with ongoing operations support, including but not limited to data collection, analysis and reporting.
- Review program design and suggestion improvements to Director
- Manage CSP and HSCAS pipeline to ensure qualified students have access to opportunities
- Review and manage HSCAS scholarship applications for eligibility and disbursement
- Work with OCIPS budget and operations team to implement scholarship disbursal
- Collaborate with campus Bursar and Financial Aid team to collect information on scholarship disbursement
- Host Info Sessions for CSP and HSCAS
- Other related responsibilities as deemed necessary
Leadership & Development – 50%
- Research and document Human Services Career Advancement programming and requirements.
- Collaborate with CUNY stakeholders and external partners on how to successfully recruit and implement programming.
- On an on-going bases review design, implementation, monitoring, and evaluation of the program’s operations, policies, and documentation.
- Design and implement post-program outcomes survey
Communication & Partnerships – 40%
- In alignment with the Director, develop partnerships with key stakeholders to market the program and increase recruitment.
- Meet with campus partners and students to provide support for program participants.
- Meet regularly with program stakeholders to provide status reports on funding, data analysis and other items as requested.
Other – 10%
- Attend staff, program and committee meetings and trainings as required.
- Perform special projects and other duties as assigned.
Qualifications
Minimum Qualifications
- Bachelor’s Degree with two to four years of relevant experience, or Associate’s Degree with three to five years of experience, or equivalent combination of education and experience, supporting programs in education, workforce development, or business development.
- Detail-oriented and organized, self-motivated professional with the ability to manage multiple assignments and meet deadlines.
- Strong verbal, written, and interpersonal communication skills, with a customer-focused approach to working and comfort communicating with college students.
- Excellent virtual and in-person presentation skills to large audiences
- Demonstrated ability to work independently and collaboratively with diverse populations in a fast-paced and high-volume work environment.
- Ability to exercise sound judgment and think on one’s feet to quickly analyze and solve problems.
- Strong user of all MS Office/365 products, Excel, and aptitude to quickly pick up new systems. Knowledge of any of the following a plus: the CUNYFIRST and other CUNY CRM platforms
- Strong interpersonal skills with an ability to rapidly establish good rapport and build relationships.
- Understanding of New York City agencies and organizational structure
- Experience in management budgets and procurement
Preferred Qualifications
- Familiarity with higher education, scholarships, financial aid and student management technologies
Physical Requirements
- This position is located in a professional office environment and is currently hybrid, working 70% in person (7 days) in office and 30% remote (3 days) during every two-week payroll cycle. Laptop may be provided if needed to support working remotely.
- While performing these duties, the employee is required to perform physical activities such as, but not limited to, lifting items (up to 20 pounds), bending, reaching, sitting for prolonged periods of time. The Research Foundation of The City University of New York (RFCUNY) is a nonprofit educational corporation founded in 1963 to provide post-award fiscal and administrative support for CUNY’s research and sponsored programs. These functions include legal assessment and signing of agreements where RFCUNY is named as a fiscal agent; setting up award accounts; preparing sub-awards and assisting PIs in monitoring the work of the recipients of sub-awards; supporting project directors with hiring and managing research project and sponsored program staff; supporting the purchasing and paying for goods and services with grant and program funds; managing financial aspects of projects including accounts receivable, financial reporting, invoicing, budget monitoring, and cost compliance with uniform guidance; ensuring that sponsor financial requirements are met; monitoring compliance with applicable project and financial management rules and laws; supporting the management of independent and external audits and financial reviews; and providing data, information, management expertise, and other supports to CUNY’s research and sponsored programs.
